The Assistant Project Manager – QA/QC, Punchlist, Closeout & Warranty is responsible for taking full ownership of construction and facilities projects at substantial completion, leading all closeout activities. Key responsibilities include QA/QC verification, punchlist management, permit closeout, final documentation, warranty tracking, and overseeing the handover to Operations. This role is critical to the successful closeout and opening of new restaurant locations, as well as major remodels. In addition to project closeout, the Assistant Project Manager manages warranty claims and punchlist items for facilities-related work and projects. The position requires regular interaction with third parties such as landlords, building departments, and other authorities to fulfill closeout requirements, ensuring all projects are delivered to company standards and operational needs. While the primary focus is on supporting larger projects, this position also offers opportunities to independently manage smaller facilities projects as organizational needs arise.

Responsibilities

  • Take full ownership of projects at substantial completion, leading all closeout activities.
  • Manage closeout documentation, including as-builts, warranties, O&M manuals, photos, and reports; assemble and deliver the final project package to Operations.
  • Develop and manage punchlists for construction and facilities projects; coordinate with contractors, vendors, and internal teams to complete outstanding items.
  • Ensure all work meets company standards and project specifications prior to sign-off.
  • Close out permits with local authorities and ensure full compliance.
  • Capture final project photos and/or laser scans for documentation and records.
  • Track and manage warranty periods for completed projects; respond to warranty claims and coordinate corrective actions with contractors and vendors for both construction and facilities items.
  • Maintain accurate records of warranty issues and resolutions.
  • Coordinate with landlords, building departments, and other third parties to fulfill closeout requirements.
  • Collaborate closely with Project Managers, contractors, and Operations to ensure a seamless transition.
  • Provide regular updates on closeout progress, punchlist status, and warranty items.
  • Manage small to medium size projects as required in coordination with other members of the Construction team.
  • Travel to locations within the NYC Metropolitan area as required.

Qualifications

  • Bachelor’s degree in Construction Management, Engineering, Architecture, or related field (or equivalent experience).
  • 2+ years in construction or facilities project management, preferably with closeout experience.
  • Familiarity with punchlist, permit closeout, and warranty processes.
    • Excellent verbal and written communication skills.
    • Strong technology skills; able to be productive from anywhere while on the go.
    • Ability to manage multiple tasks and work independently.
    • Goal-oriented; keeps track of things and follows through to completion.
    • Capable of organizing large volumes of information electronically and collaborating with a group.
    • Proficient in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat/PDF, and iPad.
    • Proficiency in the following is a plus: intermediate to expert level Excel, intermediate to expert level proficiency with iPad, Bluebeam Revu, AutoCAD, FileMaker, Matterport
    • Strong attention to detail and organizational skills.
    • Excellent communication and problem-solving abilities.
    • Ability to work in a fast-paced environment and meet deadlines.
  • Travel to project and facilities locations as required, including NYC and Long Island.
  • Ability to work in both office and field environments, including occasional outdoor work and variable weather conditions.
